Guidelines for Effective Presentations

Plan

Effective presentations require careful planning. Think of your entire presentation as a story with a beginning, middle, and end. Then select the punch lines—the three or four points you want your audience to remember. Keep the story simple, but be sure to cover the essential points.

Know Your Audience

Define your audience. Are they familiar with the material, or does the presentation need to take a more basic approach? Once you know who your audience is, you can determine the type of presentation: R&D, technical, process, or a combination of these types. References to real operating facilities and inclusion of actual field data will add to the presentation.

Determine Your Time First

This presentation will be 20-30 minutes, and questions will be held until the end. Your visuals should be either slides or a PowerPoint presentation. You can design one visual for every minute you speak or up to three minutes for a very busy slide. Transparencies are typically used in situations where you will be interrupted as you present and should be avoided.

Exhibits/Equipment

The LRGCC is a technical conference, not a trade show. Process equipment or field equipment displays are not allowed. No process equipment or field equipment that cannot be easily held by hand should be present at the conference site.

These guidelines are specifically for LRGCC authors whose papers are accepted for poster presentation.

General Poster Information

At the poster sessions, text and supporting illustrations will be mounted on individual display boards. Each presentation will be provided a board 39" by 59", white in color and covered with a flat matte finish. Poster papers will be attached to the board with double-faced tape, which will be provided by the conference.  

All material, both text and illustrations, must be prepared in advance of the conference and brought by the presenters to the poster session room on the morning of the session. Facilities will be available for onsite preparations.

Poster presentations must be ready to exhibit according to the following schedule:

Poster Session

(It is recommended that all authors be present at the morning and afternoon breaks)

  • Morning breaks: 10:00 - 10:30 a.m.
  • Afternoon breaks: 3:00 - 3:30 p.m.

Each presenter will be responsible for removing their display immediately after the end of the conference. LRGCC organizers will not assume responsibility for any materials left by the presenters after the end of the conference.

For a poster session to be successful, the author(s) must be present during the designated time of the poster sessions.

Poster authors presenting their exhibits are required to present their papers in English.

Suggestions for an Effective Exhibit

The following points should be considered in preparing an effective display.

  • A heading for the poster should state the title of the presentation, the names of the authors, and their affiliation(s).
  • Most presentations should consist of four parts:
    1. objectives
    2. benefits
    3. research methods
    4. results or conclusions
  • Color illustrations are recommended for the poster. However, only black and white illustrations can be used in the printed conference proceedings. A color version may be used for the proceedings.
  • Commercialism—in the form of signs, banners, or logos attached to the display board—is discouraged. It is recognized that trade names are often essential and can be used in the paper.
  • Avoid overcrowding the display. Some blank areas allow for a more effective, organized appearance and permit emphasizing certain points.
  • A simple color background or border for text and illustrations provides emphasis and makes the display more attractive.

Poster session presenters are invited to attend the Speakers' Breakfast on Tuesday morning.

SPEAKERS AND AUTHORS

These guidelines are specifically for LRGCC authors whose papers are accepted for oral presentation.

Moderators

A member of the Conference Advisory Committee and an assistant of his/her selection will serve as moderators for each of the technical sessions. They will introduce each speaker, moderate the ensuing discussion, handle announcements, and keep the session on schedule.

Speakers' Breakfast

Speakers are invited to attend the Speakers' Breakfast on the morning of their presentation.

Presentation

The speaker is urged not to read the paper verbatim; rather, follow it in outline form and talk about the subject. Usually, more information is developed this way. The allotted time for a presentation should be between 20-30 minutes, leaving time for discussion.

Only One Speaker Per Paper

Presenters of papers on Monday and Tuesday must be present at the Wednesday morning Roundtable session to answer questions concerning their papers.

Illustrations, Graphs, and Tables

In preparing slides for your presentation, please use lettering large enough to be visible on a screen 100 feet away from the viewer. Technical assistance will be available at the conference.

Exhibits
